Recruiting/Office Coordinator

We are looking for a Recruiting/Office Coordinator to join our Human Resources team in San Bruno, CA and help grow our company to the next level. This is an exciting hybrid role as you will be the first point of contact when candidates walk through the door. As the Recruiting Coordinator, you will ensure that hiring managers are supported through the recruiting process and candidates have an excellent hiring experience. You will help communicate with and schedule candidates in a timely manner, and with a sense of urgency.  As an Office Coordinator, you will ensure that the office is organized, conference rooms are set up, supplies are ordered, and that the kitchen is stocked. Recruiting Coordination:

  • Facilitating the entire candidate interview process and providing an excellent experience to candidates throughout
  • Scheduling a high volume of phone and onsite interviews with hiring managers locally and remotely
  • Maintaining the company’s careers page and other job posting sites
  • Scheduling travel for candidates and new hires as part of their onboarding
  • Supporting multiple hiring managers at a time in recruiting coordination activities
  • Communicating with candidates and being an internal resource for them
  • Managing records for all candidates through the use of our applicant tracking system or other tools
  • Processing new hire background checks
  • Ensuring hiring managers are well-informed about the process and are prepared in advance to speak/meet with candidates.
  • Handling miscellaneous recruiting administrative tasks on an as needed basis – onboarding, orientation, etc
  • Exhibiting high levels of confidentiality in all tasks, adapt quickly to changes, and effectively prioritize work
  • Proactively identifying and taking action on areas of process improvement

Office Administration:

  • Maintain and manage office services by organizing office operations and procedures.
    • Restock Refrigerator
    • Clean and prepare fruits in the morning
    • Unload and load dishwasher
    • Set-up lunch table for catered lunches 3x a week
  • Coordinate and manage in-office meeting spaces as well as conference room set-up
    • Wipe down all whiteboards and tables
    • Ensure all chairs are matching and pushed in
  • Greet and assist visitors when they arrive at the office
  • Monitor office supplies inventory and place orders
  • Sending requests to building management (clean up, Overnight parking request, Replacement FOB)
  • Redirecting incoming calls and screening general email inquiries
  • Develop and maintain relationships with office vendors and contractors
  • Swag management: t-shirts, stickers, backpacks, water bottles for all new hires
  • Assist with event planning and special ad-hoc projects
  • Answer and assist with any office inquiries
  • Assist and maintain all financial purchases related to offices purchases in a timely and organized fashion
  • Set-up tables, chairs, TV-Set up

Key Skills and Qualifications:

  • 1+ years of recruiting and/or office coordination experience (in fast-growing startups or tech companies preferred)
  • Outstanding customer focus with an attention to detail
  • Ability to manage multiple requests with a sense of urgency and strong adherence to the process
  • Great communication skills and diligence in following up with managers and candidates alike
  • Strong sense of ownership and responsibility towards candidates and managers
  • Experience at prioritizing high volume, high priority tasks
  • Great team player with strong collaboration skills
  • Diligent and very meticulous in data-entry
  • Ability to exercise judgment and discretion with sensitive, confidential information
  • Ability to handle administrative details independently – flexible, able to change direction quickly
  • Great collaboration skills – willing to pitch in where needed
  • Comfortable in a fast-paced environment and in dealing with ambiguity
